VP Events and Programme
Key functions
To lead on the BFWG programme of activities (i.e., year-long) and events, e.g., Biennial BFWG Conference and Biennial House of Lords seminar
To use this activity to
- Support achievement of BFWG’s vision, mission and values.
- Enhance members’ engagement and retention by providing a relevant and interesting range of activities, within the resources available.
- Work with the LT team to support other areas of BFWG, e.g., communications, membership, finance.
Areas of work
- Develop a national programme of events held via Zoom and in person where appropriate, to include organising speakers, invitations etc. This to include one national speaker event to be held via Zoom each term and any LA Zoom talks open to members.
- To host on-line national speaker events when appropriate.
- Liaise with the VP Membership to provide events/activities that meet the interests of specific membership categories, e.g., younger members and Independents.
- Lead on the arrangements for the biennial House of Lords seminar.
- Lead on the arrangements for the BFWG biennial Conference as a key member of the LT organising team.
- Support VP External Relations with scheduling and planning any international events.
- Ensure publicity and reporting of events is carried out to the benefit of BFWG – liaison with VP Communications and BFWG administrator.
- Establish a support team and identify opportunities for members to (a) assist with workload of this role; (b) provide leadership and skill development opportunities.

VP External Affairs
Key functions
To lead on BFWG engagement with GWI and UWE and to oversee links with BFWG Trust, FfWG, and other outside bodies
To use this activity to support the achievement of BFWG’s vision, values and especially mission.
Areas of work
International:
- As CIR/CER liaise with GWI and UWE on behalf of BFWG
- Represent BFWG at international meetings or arrange for an alternate if unable to attend herself
- Increase BFWG involvement internationally when/where BFWG has the capacity to do so
- Inform members about international business/programme/projects
- Encourage/arrange for members to sign up to receive GWI information directly via their email
- Liaise with the GWI Young members group and encourage BFWG younger members to participate
- Hold at least one meeting per year to enable members to learn more about the work of the international associations e.g. an International day, either virtually or in person
- Link with English speaking NFAs to collaborate in arranging meetings
- Help members to appreciate the value of BFWG membership of GWI and UWE
National:
- Oversee on behalf of the Leadership Team links with the BFWG Scholarship trusts, FfWG, 6-O and other women’s organisations
- Liaise with BFWG representatives on BFWG Scholarship Trust, FfWG and other outside bodies
- Hold occasional meetings to inform members of BFWG participation with other bodies
- Oversee possible opportunities for advocacy if members so wish, LT approves and BFWG has the capacity to undertake such activities
- Establish a support team and identify a) opportunities for members to assist with the work load of the role b) opportunities for them to develop leadership skills
- Identify a possible successor and support her in developing the necessary skills and knowledge for the role

VP Finance and Chair of Finance Committee
Key functions
To lead on matters related to finance within the BFWG articles and chair the finance team meetings.
To link with associated professional services as required e.g. Independent Financial Adviser (IFA), commissioned office / financial administrator, bookkeeper and auditors.
To ensure all directors (members of the leadership team) have sufficient information to undertake their financial responsibilities as directors and their own roles.
Areas of work
- To organise and chair at least three finance meetings each year, ensuring that minutes are undertaken and logged on the website after agreement.
- To link with the finance administrator re payments and income, receiving monthly the transactions within the month and copies of bank statements.
- To provide for all directors’ quarterly reports on the finances of BFWG, identifying expenditure and income as well as highlighting any emerging issues / concerns.
- To commission and authorise services for the Federation as required, soliciting tenders and competitive prices where possible, with the finance team.
- To agree and sign off the monthly time sheet and invoice for the office administrator.
- To link with the bookkeeper, IFA and auditors as required.
- To develop and review with the finance team any guidance related to expenditures and policiesg. Expenses guidance.
- To assess and review with the finance team any new projects / spend giving feedback to the leadership team.
- To approve budgets for events prior to circulation of details as where possible these should be self-funding e.g. cost neutral unless specific circumstances are identified. Events include Westminster seminar.
- To put together an overall budget plan and monitor progress throughout the year.
- To produce for members at the AGM a narrative financial report alongside the audited accounts for approval.
- To respond to any questions / queries from members regarding financial matters, accessing professional advice as required.
- To review levels of fees and categories for membership.
- To ensure payment of annual GWI and UWE subscriptions are undertaken and supply numbers within the expected period of those who are members.
- To respond to financial queries from local associations.
- To be a signatory on both bank accounts and Chase de Vere documents. All documents are double signed.

VP Marketing
Role description
Key functions
- Develop and execute marketing strategies, which align with BFWG’s vision and mission, to attract new members and retain existing members.
- Oversee BFWG’s branding and messaging to ensure consistency and effectiveness in communicating the value of membership .
- Oversee and advise LT on methods of communication with those outside the organisation to raise awareness of BFWG.
Areas of work
- Research and develop ways of marketing BFWG to potential members, including use of social media.
- Link with VP Membership to use analysis of membership data and feedback from members to inform marketing and communications strategies which attract and retain members.
- Use data analysis, marketing surveys and collaboration with other VPs to assess the effectiveness of marketing initiatives and make adjustments based on insights gathered.
- Liaise with other VPs to ensure that BFWG offer matches expectations of new members.
- Have editorial responsibility for the external pages of the BFWG website to attract new members.
- Have overall responsibility for the BFWG website and for communication with the website manager at Mickle Creative.
- Develop a small support group of members to work on marketing and communications, thereby helping them to develop their own skills and prepare for leadership roles.
- Manage any budget that may be allocated in future for marketing, in collaboration with the VP Finance.

VP Membership
Role description
Purpose of the role
To support the achievement of BFWG’s vision, mission and values by leading initiatives that strengthen member engagement, satisfaction, retention and growth
Key Responsibilities
To engage with all categories of members to understand their needs and expectations and identify opportunities to enhance their involvement with BFWG.
To work with the administrator to maintain accurate and up to date membership records in the Mojo database.
To collaborate with members of the LT team to support initiatives and organisational priorities.
Enhance members engagement and retention by ensuring members are well informed about BFWG events and activities.
Areas of work
Gain competence in using Mojo to collect, maintain and analyse membership data.
Track membership trends, demographics and engagement to evaluate the effectiveness of initiatives and inform strategy.
Communicate with members through emails, the bulletin, website and on-line support groups to ensure relevant information sharing.
Explore ways to integrate new and independent members within BFWG.
Meet with LA contacts to offer support and advice.
Work with VP Marketing to support member recruitment and retention.
Establish a member support group to assist with workload, enhance member participation and develop skills and readiness for possible leadership roles.

Constitutional Adviser
Key Functions
- To provide advice on Constitutional matters to the Leadership Team, both collectively and individually
- Similarly to provide advice on matters relating to the Constitution to Local Associations and individual members
Areas of work
- Monitoring constitutional documents and advising and proposing changes to the Articles and By-laws when required
- Advising on precedents and governance questions particularly for the Leadership Team
- Ensuring new V-Ps are aware of the duties of Directors
- Attending meetings of the Council, the AGM and any EGMs
- Overseeing and advising on the business at such meetings, including the preparation of ballot papers and voting, and the procedures for resolutions
- Ensuring procedural rules are followed at meetings
- When invited, attending meetings of the Leadership Team.
- Providing advice and input to any Working Groups when requested
